Frequently asked questions about sourcing with ZWOD.
How fast does a quote arrive, what happens with discontinued parts, who handles customs and export? Here are the answers buyers from industry, distribution and engineering ask us most often.
How fast do I receive a quote?
Standard requests with manufacturer, part number and quantity are answered Mon–Fri 9:00–18:00 CET, usually within two hours. Requests for discontinued parts usually take up to two business days because we check several sources. Written quotations are valid for 30 days; the contract is concluded with our order confirmation (terms, section 2). For an order placed on the website the price at the time of the order applies; it becomes binding with our order confirmation.
Are you an authorised distributor of the manufacturers named?
For Pepperl+Fuchs, yes: ZWOD is an authorised distribution partner of Pepperl+Fuchs Vertrieb Deutschland GmbH (framework agreement since December 2023). For the other manufacturers we are an independent trader; manufacturer names and trademarks belong to their respective owners. We source through several supply sources per manufacturer and state source, condition and lead time in the quote.
What warranty applies?
12 months on new goods from delivery. For justified defects we replace the goods or refund the price; details are set out in our terms.
What are your payment terms?
New customers are supplied against prepayment. Regular customers receive payment terms by agreement. For long-standing customers we execute six-figure orders without prepayment. Your safeguards with prepayment: GmbH since 2017 (HRB 189147 B, Berlin-Charlottenburg register), trading since 2007, authorised Pepperl+Fuchs partner, customs authorisation from Hauptzollamt Berlin. Payment methods: SEPA transfer, SWIFT transfer from abroad or PayPal.
Is there a minimum order value?
No, there is no minimum order value. Shipping within Germany €8.00 net per shipment. To the EU €24.00 net per shipment (Cyprus, Finland, Greece, Portugal €30.25 net, Croatia €28.56 net (€33.99 gross)) for parcel goods up to 30 kg and 120 × 60 × 60 cm; larger shipments by freight forwarder on request. Free shipping within Germany and to the EU from €1,000 order value incl. VAT (€840.34 net). Countries outside the EU: FCA Berlin, transport on request. We deliberately accept small orders; many long-standing customers started with a single component.
Can I return goods?
Stock items free from defects can be returned within 14 days of delivery by prior arrangement if they are unused and in unopened original packaging; return shipping to Berlin is at the buyer's cost and we credit the value of the goods after inspection. Items sourced to order, configured or discontinued are excluded. Defective goods are replaced under warranty at our cost.
How fast do you ship from the Berlin warehouse?
Stock items and incoming ordered goods usually leave our Berlin warehouse on the next business day. For export shipments we file the export declaration the same day and ship afterwards.
Do you handle customs yourselves?
Yes. ZWOD holds an authorisation from Hauptzollamt Berlin (main customs office) to lodge simplified customs declarations for export (Art. 166(2) Union Customs Code). Export declarations, proofs of origin and export documents are prepared in-house.
How fast do you deliver Pepperl+Fuchs?
As an authorised distribution partner we ship Pepperl+Fuchs items that are in stock at the manufacturer on the next business day or usually in 4–7 business days after payment; the part page then shows “In stock at manufacturer” with the dispatch time and the date of the stock data. Express possible. Items in Berlin stock ship immediately. Pepperl+Fuchs types with a price whose part page shows “Lead time usually 2–4 weeks from receipt of payment” can also be ordered directly there; we state the exact delivery date with the order confirmation.
Which parcel services and forwarders do you use?
Within the EU DPD and DHL, overseas FedEx or a freight forwarder such as DSV for air and sea freight. We work with all common carriers; on request we ship on your own courier account. The tracking number is sent by email.
Which countries do you deliver to?
More than 40 countries, within the EU and worldwide. Regular export destinations include the USA, the United Arab Emirates, India and Oman. Consolidation of several manufacturers into one shipment, Incoterms by agreement.
Are the goods genuine?
We supply new goods in manufacturer packaging. The source of every line, manufacturer, authorised distributor or verified remaining stock, is stated in the quote. If delivered goods differ from the quote, we take them back.
Do you source discontinued parts?
Yes. We check remaining stock at distributors and warehouses in several countries, the successor type named by the manufacturer and technically equivalent alternatives, always marked as alternatives. Technical approval of a replacement stays with your engineer.
How do I submit a bill of material?
As Excel, CSV or PDF via the request form, up to 20 MB. Part number and quantity per line are enough for a first pass. You get the list back with price, lead time and alternative per item.
What does ZWOD not do?
We do not sell to consumers and do not give technical approval for replacement types. Whether a successor works in your plant is your engineer's decision; we supply the datasheet and the differences.
